New Director Information 

Hi! We are excited to be welcoming applications for new directors for the Victoria West Coast Swing Collective Society (the “Collective”)! Below you will find helpful information regarding the role of our directors and, if you are interested, the 2 step process for becoming a director.

Our Current Mission Statement (link)

The Collective’s mission statement focuses on  encouraging the growth of a welcoming, inclusive WCS community in Victoria, where dance roles are not based on gender. The Collective will host regularly scheduled dances paired with either lessons from a variety of instructors or practice opportunities. Music for the dances is provided by a variety of DJs playing songs that are easy to dance to and from a wide range of genres. The Collective will support community members with dance events and workshops.

This is for all members of our community but we wanted to include it as it applies to Directors as well. 

Expectations 

Members of our community who are interested in being a Collective director are required to demonstrate a commitment to the Victoria WCS dance community by first participating as a volunteer as well as attending the dances hosted by the Collective on a regular basis. Once the member has  demonstrated this kind of commitment, they can be considered eligible to apply to be a director.  

The Collective is a registered society in BC. This means that the directors will be subject to the laws of BC that govern societies.  The BC Society Act governs all societies in BC. Please read this Act ( link). There are provisions around the duties and responsibilities of directors and the process for dealing with potential conflicts of interest. Please note that our insurance coverage also requires that the Collective is in compliance with the laws of BC.

Since the actions of directors for the Collective business will be considered to be actions on behalf of the Collective, directors are expected  to consult with the other directors prior to acting. This is especially critical if a director’s actions could create  potential legal liability  (for example, publishing libelous or slanderous comments) or insurance risks (for example, failing  to address known safety issues).

Due to  liability issues,  directors who will be handling or managing Collective event contracts and/or proceeds (including signing cheques),will be required to undergo a  criminal records check. 

We have a formal directors’ meeting  at least once a month. We hope you will be able to attend these meetings in person, but there is the option to attend via Zoom or by phone. We also run weekly Saturday dances and dances on the first, third, fourth and fifth Tuesday of every month. We aim to have at least two directors at each of these dances and we have a roster of volunteers to help with check in, set up and take down. 

We hope to have a balanced workload among all directors. We all have different strengths and tasks we prefer to do, but there may be times where the need of the Collective outweighs those preferences. 

Director Roles and Responsibilities (link)

As a “Non Profit” organisation, we must abide by the BC Society Act which states the Collective must have a President, Vice-President, Secretary and Treasurer. However, we’ve also defined Operational Roles and Responsibilities (listed below) which more closely align with the functioning of the Collective. Directors can be assigned one or more operational roles.  The positions listed in the Society Act positions and the operational roles are integrated. You’ll find a full summary of the director roles and responsibilities below.
